Requirement Explanations
On this page, you will find information about:
Applies to ALL vendors/exhibitors/sponsors:
Business License Waiver
The Office of the License Collector’s office issues Business License Waivers once St. Louis Earth Day submits its list of vendors/exhibitors/sponsors. There is no action required by the booth registrant.
It is important for all business entities working within the City of St. Louis to be up-to-date on City taxes and other business paperwork. If your business/organization is not up-to-date on City taxes: the City will not issue a License Waiver.
Explanation for the Business License Waiver Procedure:
valid as of 01/2012
- Everyone with a booth is required to obtain a Business License Waiver specific to the Earth Day Festival for doing business at the Festival on 04/22/2012.
- Includes ALL vendors and exhibitors (non-profits, independents, hobbyists, those selling and not selling – ie. everyone!).
- The waiver is obtained by submitting specific information to the License Collector’s office, including:
- FEIN or EIN (Federal Employer Identification Number, also know as tax ID for businesses)
- 501(c)3 (tax ID number for not-for-profits)
- Social Security Number (for independents/hobbyists without a business license)
- This is the number was requested on the registration form.
- Your information is submitted to the License Collector’s office by St. Louis Earth Day at least 21 days before the event.
- The License Collector’s office will only issue waivers if they receive this information from St. Louis Earth Day - you must have registered online to receive a waiver.
- St. Louis Earth Day and the License Collector’s office will be provided with a list of Festival vendors who have been granted waivers.
- You must be on this list to participate at the event, and be allowed to set-up.
- We will contact (by phone and email) any booth registrant who is NOT approved for a License Waiver.
NOTE: For businesses operating in the City of St. Louis, you must be in compliance and up to date on all of your taxes, permits and licenses. If you are not, the License Collector’s office will not issue a waiver. If you DO NOT operate in the City of St. Louis, this does not apply to you.
If you have any questions about your business license requirements, please contact the Office of the License Collector directly at 314.622.4528 and ask to speak with Shawn Martin, referencing the St. Louis Earth Day Festival.
Certificate of Insurance
valid as of 01/2012
- ALL vendors/exhibitors/sponsors who have liability insurance need to request a Certificate of Insurance naming St. Louis Earth Day as an additionally insured entity.
- Make this request to your insurance agent.
- This is only required if you carry liability insurance. If you do not have liability insurance, then no action is necessary, except to let us know that you are exempt.
Below are the two occasions which exempt you from requiring liability insurance (that we are aware of):
- As the State of Missouri does not require businesses with fewer than five employees to carry liability insurance, we understand that some small businesses that participate in the Festival may not carry insurance. Please make sure that you fully understand the risks of not carrying liability insurance. All that is required for this circumstance is to contact us to inform us that you do not carry insurance and will not be providing this information.
- Some governmental agencies are self insured and operate differently than corporate entities, and are thereby unable to name additionally insured.

Once your wavier is granted by the License Collector’s Office, they will pass along a list of approved food vendors and sampling companies’ contact info to the Health Department.
